  • Reports to: Reservations & Customer Relations


  • Answer telephones promptly, and courteously, with a smile. We aim to answer all calls within three rings
  • Deal with enquiries professionally and efficiently
  • Ensure that the full booking process is adhered to including sending step letters and making concierge calls
  • Add and quote air to match the cruise itinerary
  • Keep up to date with new itineraries, new brochures, special offers etc
  • Maximise earning potential of each client
  • Proactively pursue sales by offering alternatives when requested space not available
  • Ensure clients full details are received
  • Follow up on all enquiries, quotes, brochure requests by phone and/or email


  • Create new groups
  • Administer existing groups – updating group manifest, managing payments, allocation of tour escorts
  • Following up with the Regional Sales Managers for ensure groups are being actively promoted
  • Assist in finalising of Charters & Part Charters


  • Keep files, booking and client records fully up to date, ensure payments made, documentation passed on and so forth in a timely manner
  • Follow-up with adding air to bookings out of date range
  • Chase options and balance payments
  • Handle new enquiries adding names and email addresses to mailing list
  • Ensure presentation of all information is in accordance with company policies
  • Ensure client preferences, interests, details etc are added to client records
  • Assist with general office duties as required

Customer Relations

  • Attend and host ship visits
  • Attend and host client/agent functions
  • Develop personal relationships with clients/suppliers
  • Assist with investigation into any Guest/Customer Relations challenges raised, bringing to a satisfactory resolution

Business Development

  • Assist and support the Reservations and Customer Relations Director with proactive and positive suggestions and ideas
  • Be prepared to develop and act upon the proposals you make

Personal Development

  • Identify personal training needs, make proposals as to how they could be addressed and ensure that your manager is aware of your personal goals and assists you in achieving them
  • Participate in courses and familiarisation trips. Use them to achieve particular aims, and report back to co-workers in writing
  • Respect all your fellow workers - look for and appreciate their particular talents and contributions
  • Contribute to Team positively, Confidently, cheerily and with flexibility
  • Take control of your working life: identify needs, ambitions and issues; suggest solutions and be prepared to act upon them

The position reports to the Reservations and Customer Relations Director.
